What does a warehouse management system do?

A warehouse management system (WMS) is software designed specifically to manage the movement of inventory through your warehouse. While ERP covers processes across your business, WMS goes deeper into the day-to-day activities involved in receiving, storing, picking, packing and shipping inventory.

Depending on the system, WMS functionality can include:

  • Receiving and put-away
  • Bin and location management
  • Inventory replenishment
  • Barcode scanning and mobile warehouse processes
  • Directed, wave or zone picking
  • Packing and shipping
  • Inventory counts
  • Warehouse layout and slotting

The biggest difference is specialization. A WMS can give you more control over how inventory physically moves through your warehouse, particularly when your processes become more complex.

There are also different ways to add WMS functionality to your business software. Some ERP systems offer integrated WMS modules, while standalone warehouse management systems connect with your ERP and other business applications. Where do ERP and WMS overlap?

Both can support activities like receiving, put-away, inventory tracking, picking, packing and shipping. The key difference is how deeply each system supports these activities, and that varies significantly depending on the ERP system you use.

Some ERP systems include fairly robust warehouse functionality out of the box, while others provide the basics and allow you to add more advanced capabilities through a WMS module or add-on. A dedicated WMS, on the other hand, is built specifically for warehouse execution, so advanced warehouse functionality is typically a core focus rather than an optional extension.

For example, your ERP may show your team where an item is stored and support basic picking and shipping processes. More advanced warehouse functionality—whether built into your ERP, added through a separate module or provided by a dedicated WMS—may also help you optimize storage locations, direct pickers along efficient routes and choose the best picking method for each order.

That’s why comparing ERP and WMS based on a simple feature checklist doesn’t tell you the whole story. Two systems might both offer “picking,” but the workflows, automation and level of control behind that feature can be very different.

Before you add another system, understand what your warehouse team needs to do that your current software can’t support. The gaps in your current functionality are a much better indicator of whether you need WMS than a checklist of features.

Do you need a WMS if you already have ERP?

Not necessarily. If you already have an ERP system, the first step is to understand what warehouse functionality you have today and whether it can support your current and future requirements.

Depending on your ERP and the complexity of your warehouse, there are three common scenarios.

When is ERP warehouse functionality enough?

If your warehouse processes are relatively straightforward, the functionality already available in your ERP may be all you need.

For example, if your team can efficiently receive inventory, manage locations, pick and pack orders, process shipments and maintain accurate inventory using your existing ERP, adding another system may create unnecessary cost and complexity.

The important question is whether the additional functionality would solve a meaningful problem for your business.

When should you add a WMS module to ERP?

If you’re happy with your ERP but your warehouse requirements are becoming more sophisticated, you may be able to add advanced functionality without implementing a completely separate system.

When do you need a standalone WMS?

There are also situations where a dedicated WMS is the better fit, particularly when your warehouse requirements go beyond what your ERP or available extensions can reasonably support.

That might include highly complex fulfilment processes, sophisticated picking and replenishment strategies, warehouse automation or other specialized requirements.

There isn’t a universal order volume, number of SKUs or warehouse size that tells you when you’ve reached this point. Your decision should be based on the complexity of your processes and the functionality you need, not an arbitrary threshold.

If a dedicated WMS is the right choice, it doesn’t mean your ERP becomes less important. The two systems typically need to work together so warehouse activity stays connected to inventory, orders, purchasing, finance and the rest of your business.

Can ERP and WMS work together?

Yes. If you use a dedicated WMS alongside your ERP, the two systems should be integrated so information can flow between your warehouse and the rest of your business.

Generally, your ERP remains the central system for broader business processes like sales, purchasing, inventory and finance, while your WMS manages the detailed execution of warehouse activities. Integration keeps the two in sync.

For example, when a sales order is entered in your ERP, that information can flow to your WMS so the warehouse team can pick, pack and ship it. Once the order is fulfilled, the WMS can send updated inventory and shipment information back to your ERP.

Without that connection, your team may have to manually move information between systems, creating duplicate work and increasing the risk of inaccurate or outdated data.

If you decide to use a dedicated WMS, ERP integration should be part of the decision from the beginning. Consider how the systems will connect, what data needs to move between them and how reliably that integration can be maintained.
